Your Fax Cover Page

When you are done entering your expenses, you can begin the submission process by looking at a report fax cover page. The cover page will serve two purposes.

If you have NO required receipts or if all required receipts are already attached as E-Receipts, you can skip the other steps and submit your report immediately.

If you have required receipts that are not E-Receipts, you must print, fax / attach and view your receipt image before the system will be permit you to submit the report.

Print Your Fax Cover Page

To print your cover page:

  1. With the expense open, click the Print button on the right, and select UofC Fax Receipt Cover.
  2. A window will open displaying a Fax Cover Page listing the report name and the required receipts.
  3. Click the Print button at the top of the page.
  4. You will be prompted to select a printer. After you do so, click Print in the popup.

Fax Your Fax Cover Page and Receipts

If your cover page lists required receipts, you will need to fax them in with the cover page. To prepare your fax:

  1. Attach, copy or scan your receipts onto 8.5 x 11 sheets of paper.
  2. Fax the cover page followed by your receipt pages to the phone number listed at the top of the fax cover page.
  3. If you need to re-send or append new receipts, you will need to fax them with a printed copy of a cover page so that they are appended to the proper image.

Attach Receipts

If you have electronic copies of your receipts (in a jpg, pdf or tiff format), they can be electronically attached to your report:

  1. Click on the Receipts button and select Attach Receipt Images.
  2. In Step 1, click the Browse button. Locate the image file that contains your receipt(s).
  3. Repeat Step 1 until you've selected all files that contain receipt images (the system allows up to 10).
  4. Click the Attach button.
  5. When the attachment process is complete click Done.

View Your Faxed Image

Before you can submit your report you will need to check your fax/attached file to make sure it registered clearly.

  1. Wait 4-5 minutes after you send your fax/attach a receipt file.
  2. With the expense open, click on the Receipts button and select the Check Receipts link.
  3. Scroll through all pages of the image to ensure that all required receipts are legible.
  4. Close the receipts display window. You are now ready to submit your report.

Submit Your Report

Once you have confirmed that your faxed image is legible and contains all required receipts:

  1. With the expense open, click on the Submit Report button.
  2. A disclaimer pop-up will appear. Read the contents of the disclaimer. If you agree, click Accept and Submit. Your report will be sent on to your approver.
  3. If you do not agree with the disclaimer and/or you want to make revisions to your report, click Cancel.
  4. Monitor the status of your report from the My Concur or the Report List page.
